Job Overview

The job of a Business Development Coordinator with M Moser Associates is a hybrid business development, marketing, and project coordination role. In this position, you will become an essential resource to our Global Marketing group, our Business Development initiatives, and on occasion, our Project Delivery Teams.

Primary Responsibilities

Business Development Production

  • Orchestrate proposal preparation/iterations between Project Teams and Marketing, as directed by Project Leader and Marketing Leaders (estimated 30% of the Coordinator’s time on average).
  • Coordinate and produce deliverables including: qualifications and responses to Request for Information and Proposals (RFI/RFPs), advertisements/sponsorship, and formal client presentations
  • Edit, create and produce packages for pitches, RFQ’s, proposal requests etc
  • Create business development materials including brochures, proposal project pages, award submissions, etc.
  • Manage and maintain library of business development/marketing collateral (e.g. photography, proposals, resumes, press, etc.); includes updating, organizing and distribution
  • Provide general administrative support to business development functions including data collection/entry, meeting administration and organization
  • Constantly monitor the number and effectiveness of proposals and make appropriate changes to increase win rate
  • Facilitate discussion with everyone involved in the proposal response to develop complex written and graphic communications in pursuit of business
  • Maintain and develop the proposal database; extract and add information as proposal information is updated/changed
  • Track and monitor all active opportunities within the proposal database

Contend Strategy & Development

  • Develop content and produce final deliverables in a fast-paced, deadline driven environment
  • Produce basis content and templates to be used across marketing materials and in proposals
  • Provide quality control through careful proofreading, editing and grammar checks
  • Work independently, and with global graphic design team to identify, imagine and refine specialized graphics such as organization charts, diagrams, banners and image boards, etc.
  • Support social media efforts through research, content collection and postings

Project Coordination

  • Support project teams in the coordination of meetings and administrative tasks related to client responses
  • Work with appointed Project Manager to ensure database is kept up-to-date with information around project opportunity (including client, location, fee, size, status)
  • Act as a conduit to communicate proposal and presentation needs to graphic design team
  • Draft schedules and fee (letter) proposals, with the direction of Project Leader or Project Director
  • Prepare Consultant Agreements identified by Project Leader
  • Proposal meeting preparation and leadership, including setting up required AV, queuing up agenda and presentation materials as prepared by proposal team.

Skills, Attitudes and Qualifications

As M Moser Associates Business Development Coordinator, you will be someone who enjoys taking on many roles and various types of work. We are looking for someone who is both technically strong and detail oriented but who also has a creative side with the ability to communicate complex, big picture concepts.

  • 3 to 5 years of experience in in a proposal generating and/or presentation generating environment, with a minimum of two years of experience in proposal management in AEC or related industry
  • Proficiency in Adobe Creative Suite (Photoshop, InDesign, Illustrator, and Acrobat), MS Office (Word, Excel, PowerPoint)
  • Experienced in B2B writing with an ability to write in a number of styles and use them effectively
  • Excellent written and verbal communication skills
  • Detail-oriented with an excellent ability to handle multiple projects simultaneously
  • Exemplary skills in dealing with people, able to work with and manage teams
  • Action-oriented, driven towards results
  • Able to prioritize effectively and thrive in a fast-moving, deadline driven environment
  • Strong planning, organizational, and problem-solving skills with the ability to change priorities quickly
